Compare two software options based on requirements that matter to your team. Weight critical considerations more heavily and see a transparent total rather than trusting an arbitrary “best” label.

Build a weighted decision

Weight each criterion from 1 (less important) to 5 (critical). Rate each option from 1 (poor fit) to 5 (excellent fit). You are responsible for verifying the ratings.

What the score means

For each criterion, multiply its importance weight by the option's rating. Add those products, then divide by the maximum possible weighted score (sum of all weights × 5) to express the result as a percentage. A higher score means the option better fits the priorities you entered; it does not mean the product has been independently tested by VectoraWork.

Don't turn security into an average

Some criteria are non-negotiable. If your workflow needs multi-user permissions, an auditable record history or a specific export format, verify the requirement before assigning any score. A tool that cannot meet a mandatory security, accessibility, recovery or legal requirement should be removed from consideration even when its price is attractive.

A practical evaluation sequence

  1. Define the task, number of users and what happens if records are unavailable.
  2. Agree on must-have requirements before reviewing marketing pages.
  3. Run a small fictional-data trial for each candidate.
  4. Test recovery: can you export and read your records outside the original environment?
  5. Rate each candidate with evidence, and record unresolved questions in a separate decision note.
  6. Revisit the choice after actual use reveals training or operating costs.

Example: one user versus five

A solo service provider may give ease of setup and offline access high weight. A five-person field team may need simultaneous shared records, permissions and reliable synchronization. Using the same scores for both organizations can be misleading because their constraints are different. Change the weight column to represent the real operating situation rather than accepting the default template.
