How the calculation works
Current monthly hours = monthly repetitions × current minutes per task ÷ 60. Proposed hours uses proposed minutes instead. Estimated net monthly time value = (current hours − proposed hours) × hourly value − additional monthly workflow cost.
Example: an office performs 80 routine updates per month, each taking 12 minutes. That is 16 hours. If a better process takes four minutes per update, the same work takes approximately 5.33 hours. At an assigned hourly value of $25, the gross time value is approximately $266.67. If the improved process has an additional monthly cost of $30, the modeled net value is approximately $236.67 per month. These figures illustrate a calculation, not a promised product result.
When the answer can be misleading
- Time freed is not automatically cash saved. A team may use the available time for other useful work instead of reducing paid hours.
- First-month improvements may be smaller because new workflows require training, migration and error checking.
- Rare events, approvals and rework can change average task time. Prefer measurements from several representative days.
- Seasonal task volumes can make a single month unrepresentative. Recalculate using a low, typical and high-volume month.
- A privacy or compliance requirement cannot be dismissed just because an alternative produces a better calculated return.
Suggested five-step measurement exercise
- Choose one clearly defined task with repeatable start and end points.
- Measure five to ten real instances, including one exception case, without collecting personal data in this tool.
- Record the monthly volume from your own business records.
- Time a proposed workflow with a fictional sample dataset and include verification steps.
- Repeat the exercise after implementation and compare actual time with the estimate.
